A useful airport transfer request starts with a few clear details. Before asking for a quote, gather your flight information, destination, passenger count and luggage list. These help the transport team understand your journey and discuss an appropriate vehicle.

Give the airport and flight details

Include the airport name or code, flight number, arrival date and scheduled arrival time. State the date and time as shown for arrival in China, rather than the departure time in your home country. If your itinerary has several flights, identify the flight arriving in Shanghai.

If a detail changes after you make the request, send the updated information. Ask how the pickup arrangement and any waiting charges would be handled if your arrival is delayed; do not assume a particular waiting allowance is included.

Share a precise destination

Send the full destination address. If you have a Chinese address or a map location supplied by your host, include it alongside the English name. For a hotel, identify the specific branch. For an office or factory, mention the entrance or meeting point if your host has provided one.

Tell the team about any additional stops and whether you need a return transfer. These details can affect the itinerary and the quote.

Describe passengers and luggage separately

Give the number of adults and children, then list suitcases and other large items. A vehicle’s seat count alone does not tell you how much luggage it can carry comfortably.

Check the vehicle category, journey details, included charges, waiting arrangements and payment terms. Ask how changes or cancellations are handled. An enquiry or a prepared message is a request for information; the booking needs a separate confirmation.
